PAYMENT Policy

CANCELLATION

Services may be cancelled without cancellation fees up until you have signed a contract and payment has been made. Once you attend orientation, you are responsible for payment. After payment, you are responsible for fulfilling the terms of your letter of intent and your contract, including completing the full time designated for the program. In the event you have signed a contract with Rome Abroad LLC and subsequently are unable to complete the terms set forth for any reason, Rome Abroad LLC reserves the right to treat such client’s contract as cancelled and void. All applicable cancellation fees shall apply. At least sixty (60) days before the starting date outlined in the letter of intent and/or agreement, you may cancel Rome Abroad services with no additional fees. If there is a cancellation due to health reasons after the program has started, a doctor’s note must be provided. Once you have started your time with the host family or school as outlined in your contract, the cancellation fee is $150 USD per client per week cancelled.

PAYMENT

All payments are due upon receipt. If a payment is not received or payment method is declined, the buyer forfeits the opportunity of any arrangements purchased. If no payment is received, no services will be given. Acceptable methods of payment are: cash, checks, credit card, Venmo, or PayPal. Payments will be processed within one week of receipt. After acceptance to the program, you will pay a non-refundable deposit at orientation. This deposit amount is already part of the program cost and will go towards payment of the program. In case you back out of your intention to do the Rome Abroad program, you forfeit your deposit. If you want to delay your date of departure, your deposit will be honored for 18 months from the date of your orientation. If you have not arranged a contract through Rome Abroad before that date, you forfeit your deposit. 

LATE FEES

If you cancel or do not attend your scheduled Orientation without informing Rome Abroad at least 24 hours prior to the meeting, your deposit will increase by $100. This is the case for each time you do not show up for a scheduled meeting without informing Rome Abroad at least 24 hours in advance. 

Your program fee (excluding the initial deposit) is due either at orientation or 3 months after your orientation date depending on the payment plan you choose. 

REFUND/RETURN POLICY

If you need to defer your dates, you may do so at no extra cost (up to 18 months). If you decide to drop out of the program after you’ve attended orientation and your intended departure date as indicated on your letter of intent is more than 60 days away, you are eligible for a 50% refund of the program cost. If you decide to drop out before you have signed an agreement and your intended departure date as indicated on your letter of intent is more than 60 days away, you are eligible for a 50% refund of the program cost. If you decide to drop out after you have signed an agreement (either with a host family or school) and your intended departure date as indicated on the agreement is in less than 60 days, your program fee is not refundable. Once contracts have been signed and the intended departure date is in less than 60 days, all refund opportunities are forfeited.
